Coordinator, Logistics and Vendor Management

Reporting to the Manager, Contract and Vendor Management, the Coordinator, Logistics and Vendor Management will be responsible for organizing and managing travel logistics, mobile plans, and supporting the vendor management team. This role will ensure seamless travel arrangements, oversee mobile plan administration, and assist in vendor data management, reporting, and communication. The ideal candidate will be detail-oriented, proactive, and skilled in coordinating multiple logistics simultaneously.

 

Responsibilities

  1. Travel Logistics Coordination
  • Arrange and book flights and ground transportation services for intercompany travel.
  • Coordinate car services for intercompany travel, ensuring timely and efficient service. 
  • Manage any travel-related changes, cancellations, and emergency requests.
  • Maintain accurate records of travel expenses and vendor invoices for budget tracking, including monthly reconciliation with the finance department.
  1. Mobile Plan Management
  • Facilitate the approvals process for new mobile plans, ensuring compliance with company policy.
  • Conduct monthly reconciliations for mobile plans and handle discrepancies in billing.
  • Oversee the retrieval of mobile assets for departing employees and coordinate reassignments, migration, or cancellations of mobile plans.
  • Maintain updated records of company mobile plans, costs, and inventory status. 
  1. Vendor Management Support
  • Assist the Manager, Contracts and Vendor Management in gathering, organizing, and presenting data related to vendor management feedback cycle.
  • Track vendor performance and compile regular reports for quality assurance and performance monitoring.
  • Schedule and coordinate regular vendor feedback calls, documenting key points and action items.
  • Support in managing vendor relationships by acting as a point of contact for routine queries and updates.

Qualifications

  • Proven experience in logistics coordination, vendor management, or a related field.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint).
  • Ability to manage multiple priorities and maintain attention to detail.

 

Preferred Skills:

  • Experience with travel booking platforms and mobile plan administration.
  • Familiarity with vendor quality control and reporting processes.
  • Knowledge of basic budgeting and expense tracking.
